Welcome to the Distance Education FAQ of the Registrar's Office. Below are the most common questions we receive. For questions regarding registration not answered here, please contact the Registrar's Office at registrar@prov.ca.

Modules are one-week courses offered on the Otterburne campus. They run from Monday morning to Friday afternoon. See the course list for specific dates/times/locations. These courses will often have pre-course work.

Hybrids are a combination of both online and face-to-face content. The courses typically have five weeks of online work that is completed before the class meets on campus for 2.5 days. See the course list for specific dates/times/locations.

Online courses are fully online, and include recorded lectures by professors, weekly interaction and discussion with classmates, etc. The lectures are asynchronous in that they can be accessed 24/7 for viewing.

The best place to find syllabi is in Populi. You can see a course's syllabus by clicking on the course in your Registration tab.

NOTE: It is the student's responsibility to keep copies of their course syllabi for future reference. Any requests for old syllabi must come to the Registrar's Office and will be charged a fee.

You can register for all courses in Populi in My Profile > Registration. Registration and full payment is required at least two weeks before the course start date.

If the registration deadline (two weeks prior) has not passed, you can drop the course in your Registration tab in Populi. After the registration deadline, you can use this multipurpose form to drop/withdraw from a course. Note that tuition refunds are based on when the Registrar's Office receives the above form. Emails to the Registrar's Office are not sufficient to drop/withdraw from courses.

Payment for distance courses is due at least two weeks prior to the course start. Please allow 3-4 days for payments to be reflected in your Financial Dashboard in Populi.

Each format of class has a specific refund guideline used to determine how much of a refund is received. Details for each can be found at the following URL: https://my.prov.ca/registrar-s-office/tuition-and-fees/payment-and-refund-policies/. Refunds are calculated based on when the Registrar's Office receives the course drop/withdrawal form (see question 5).

Extension requests must be made through the Registrar's Office at least two weeks before the end of the semester.  Approval/denial of extension requests are made by the Registrar's Office. The Registrar's Office will communicate the decision to the student via their Providence email address.

Your faculty advisor is listed in Populi in My Profile > Student. See the right side of the page under Student Info.

The courses needed for your program are listed in Populi in My Profile > Student > Degree Audit. You should also correspond with your faculty advisor each semester to determine which courses to take.

Populi is our student information system. It is the place to go to register for courses, find the courses you are currently registered for, the list of courses needed for your program, the grades assigned for your classes, announcements, etc. Courses may include discussion boards or other online content that can be accessed in Populi.

The Providence intranethttps://my.prov.ca/, is the place to go for registration information, Registrar's Office forms, Student Handbook, and all things Providence related. We encourage you to take some time to check out all of the information accessible on the website.

Access Office 365 at https://www.office.com/ and use your MyProv email and password to sign in. You will use Microsoft Outlook to access your Providence email.

You can reset your password at the following URL: https://my.prov.ca/account-settings/my-account/.  Select the "Forgot my Password" option. Remember, this password is used for all of your Providence logins, including the website and Office 365. (Populi has a separate password)

If you would like a Providence student ID card, please fill out the form below.

Processing time may take up to 7-10 business days. Once your ID card is printed, we will either mail it to you or contact you to inform you it’s ready for pickup (if you communicated that you would pick it up in person).

You can access the Library databases and online catalogues at the following URL: https://my.prov.ca/library/william-falk-library/. Please direct further questions about Library Services to the Library Staff. Their contact information is listed at the bottom of the Library home page.

At the time of your application, inform your Enrollment Officer that you would like a Transfer of Credit Assessment. This Assessment will be completed once you have been fully accepted.

The specific criteria used to consider whether a course will transfer to Providence are:

  • whether it fits into your Providence program
  • the accreditation of the school
  • a grade of C or higher
  • 3 credit hours in length

Every student is required to take at least one course from each of the Seminary Departments (BTS, Counselling, and Christian Ministries) regardless of previous studies completed.

Requests to take a course at a separate school for credit at Providence require a Letter of Permission. Requested courses need to fit Providence criteria for approval. The criteria include, but are not limited to, the accreditation of the hosting school, three credit hours in length, and whether the course is necessary for your Providence degree. Applications should be submitted 4-6 weeks before the requested course is set to start, to allow for processing time.

Your classroom will be visible in Populi shortly before the course begins. You can see it by looking at the Calendar in the course record.
